Policies
To order for a catering function, please use the CaterTrax online ordering system, or email your requests to: catering@upstate.edu or call (315) 464-4204. We advise that your catering request be submitted as early as possible to enable us to procure menu items needed for your event. The Food and Nutrition Services Department should receive your request two weeks prior to your event, as well as no later than 3 business days prior to the event. Any orders that are attempting to be placed outside the 3 day minimum described above are subject to a late fee, and may not be accepted due to prior scheduling issues. Any and all changes to an order also must be made within 48 hours of the event, any and all changes made to an order that are within 48 hours may be subject to a service charge.
The following questions will need to be answered when arranging service:

4. Number of people attending

6. Pick-up (end) time
7. Special menu arrangements (vegetarians, food allergies, ect)

We will do all we can to make your event a memorable one, running as smoothly as possible. To achieve this there must be a good partnership between you (the customer) and us (the caterer). Your cooperation with the guidelines presented to you here will allow our staff to focus on our goal – to exceed your expectations.

1. The person ordering or the designated person within the department will be invoiced for their function.
2. Payments are due 30 days from the date of invoice.
3. All outside groups must pre-pay for catered functions.

Delivery of all functions will be provided by the Food and Nutrition Services Department, with a fee for buildings outside the University Hospital Jurisdiction.
When booking your function please indicate a time to pick-up after your event. Food and Nutrition Services will return to pick-up your event at or after the scheduled time. Equipment and supplies are the responsibility of the host department until the scheduled pick-up time. Any equipment or supplies missing at the scheduled pick-up time will be charged to the host department at replacement cost.
All functions will be served on disposable products. Any and all China, linen, silverware, glassware and floral supplies will be supplied at request with an additional cost. Other arrangements are available at additional costs as well.
Larger functions or events that take place beyond normal business hours (6:00am – 5pm, Monday thru Friday) may require additional labor that is not included in the price indicated in our catering menu package. In addition, food and supplies are assembled based on the number of guests attending the event. We do not base the amounts on an all you can eat price. If an event needs additional food or supplies over and above the initial amount requested, the Food and Nutrition Services Department will be more than happy to replenish those supplies at an added cost.
Additional charges will be applied for late functions (less than 3 business days notice). Orders received less than 3 business days prior to the event may not be honored.
Cancellations or changes in the number of guests or menu at your function must be made no later than 24 hours prior to the start of your function. Failure to do so, will result in financial responsibility for said function.
There is a $15.00 minimum charge per function for functions within UH, WSK, Setnor, CAB or IHP. There is a $25.00 minimum charge per function for off-site. There is a $25.00 delivery/labor charge to Shoppingtown Mall, Joslin Center, Widewaters Parkway, and Off-Site Non-University Locations.
Please call Educational Communications at 4-7911 to reserve a meeting space within WSK. Please keep in mind that Upstate Medical University has limited supplies of tables and chairs. If you need tables, chairs or similar equipment, please complete a work order and send to Physical plant at least 2 weeks in advance.
Morrison has a New York State liquor license for catering customers at University Hospital. A license fee of $50 will be charged per event.
